CRM: Contact Relationship Management

CRM is a full featured tool which provides today's distributors with the depth of knowledge and a market penetration toolkit that will elevate one distributor above the rest. The CRM module has two key functions: Data Warehousing and Business Development.


Data Warehousing

Sentai's CRM houses all of the key data and metrics about any contact, customer, vendor, or other type of contact that anyone in the organization would need on a day-to-day basis. The module is fully integrated with Microsoft Outlook and will therefore warehouse all relevant communication in the form of email, telephone conversations, or appointments. Templates and Scheduling tools from Outlook can be utilized to automate follow-up calls, emails, and the like.

Key metrics that Sentai's CRM contains are elements such as

  • Past purchases: sorted by quantity purchased
  • Sales History: Net Sales, Cost, Margin, and Discounts by Month and Year
  • Contact Information: categorized in user defined tables
  • Company Information: categorized in user defined tables
  • Market Information: high level user defined table of your customer's Market/Industry
  • RFM Score: a 3 digit indexed score that rates your customer on their relative value to you in a snapshot.

There is always a little tidbit of information that you or someone in your organization has relating to a conversation or an agreement with a customer that the rest of your company should know. For this reason, Sentai created "Notepad", an unlimited notepad that is attached to each contact and company and which can be edited and viewed by any authorized personnel. Notepads can be categorized for ease of use and even set to "Mandatory" so that every time one of your personnel pulls that customer, product, or vendor up in the system, the "Mandatory" note is displayed, front and center, in the middle of the screen.

Business Development
Never before have you had market or industry specific sales history on your customer in a CRM application that would allow you to focus calls, promotions, email, or fax initiatives on a targeted subset of your customer base. Now you can use basic Micro Marketing techniques to drive business in a specific subset of your customers based on industry, location, territory, sales history, RFM score, etc.  Amazing - and profit improving - power.

Sentai's CRM facilitates detailed reporting at all levels. CRM automatically tracks 3 major customer trends: Recency, Frequency, and Monetary values. These RFM values correspond to how recently the customer had activity with you, how frequently they have purchased products, and the monetary assessment of the profit this customer brings you. This RFM assessment is the key to relationship management and the identification of high-value customers.
